You can apply for a passport at any Polish consular office. Remember that you will collect your new passport at the same office where you apply.

You must apply for a passport in person.

You can book your appointment to apply for a passport via the e-konsulat system .

  • A completed application for a passport or a temporary passport by the consul of the Republic of Poland, which you will receive at the consulate or downloaded from the website of the consular office.
  • Color photo – find out what the photo should look like .
  • If your surname has been changed as a result of getting married abroad – a shortened or full copy of the Polish marriage certificate.
  • If you do not have a PESEL number – an abbreviated or full copy of a Polish birth certificate.
  • If you do not have a PESEL number and you are married – an abridged or unabridged copy of a Polish marriage certificate. This document must be submitted by women and men, regardless of whether there has been a change of surname due to marriage or whether the surname has not changed.
  • A document that confirms your right to a discount on the fee for issuing a passport (for example a student ID).

If, on the basis of the data contained in the documents submitted in the case or the data contained in the records and registers available to the consul, it is not possible to establish your identity and citizenship or if these data raise doubts or discrepancies, the consul may ask you to submit additional documents, e.g.

  • an abbreviated or full copy of a Polish birth certificate,
  • an abridged or full copy of a Polish marriage certificate,
  • decision of the voivode confirming possession of Polish citizenship,
  • valid foreign identity document.

Remember! When applying, have your current passport (or temporary passport, if applicable) with you, even if it is no longer valid.

The passport fee is 110 EUR.

The fees are collected at the office’s cash desk when submitting the application.

Remember, if you want to be exempted from the passport fee – bring documents that will confirm that you meet one of the above conditions

You will pay less if you apply for a new passport before the validity period of your passport expires – if:

  • your passport details have changed, for example your first name (s) or surname (then there is an obligation to replace the passport) or the appearance that makes it difficult to identify you,
  • there is no more space in the passport for further visas or stamps that confirm crossing the border.

When submitting the application, the consulate employee will tell you the expected date of passport collection. You will also receive a written confirmation of your application. On it you will find your passport application number – which will be useful if you want to track the progress of your case online.

Check that your passport is ready.

If you urgently need an identity document, for example due to the necessity of urgent departure – submit an additional application for a temporary passport while waiting for the delivery of the biometric passport. You will get it faster than a biometric passport.

Remember , if you plan to travel to another country on the basis of a temporary passport, check the current regulations governing the entry and stay of foreigners in that country. Make sure that you will be able to cross the border on the basis of a temporary passport and its validity period (when entering and leaving).

You can collect your passport in person at the office where you applied.

On the day of collecting the new document, bring the previous passport (or temporary passport) to the consulate – the existing passport will be canceled, except for pages with valid visas, and returned.

Remember! In justified cases, especially in conditions of particularly difficult access to the consular office, the consul may waive the requirement to collect the passport document in person. Please discuss this when applying for a passport.

Remember that you will have to submit a reasoned written request to waive the requirement to collect the passport in person (the form will be available from the consular office), as well as cover the shipping cost.

The consul will send the passport to the address indicated by the operator performing postal or transport services, if it is possible with the security of the document provided.

The cancellation of the existing passport or temporary passport will take place before the consul sends a new passport.

If you know that your (biometric) passport is ready to be picked up at the consulate – send the consul your existing passport (or a temporary passport, if applicable) for cancellation. The consul will return the canceled document to you by sending it together with your new passport.

Remember that the consul does not send passports to a citizen staying in Poland.

It is also not possible to send a passport issued by the national passport authority (voivode) to a person staying abroad.

If the consul issues a decision to refuse to issue a passport, you can appeal against this decision through the consul to the minister competent for internal affairs.

The consul refuses to issue a passport at the request of:

  • a court conducting proceedings against a person applying for a passport document in a criminal case or proceedings in a case of a tax offense, proceedings in a minor or civil proceedings;
  • the body conducting the preparatory proceedings, the body of executive proceedings in a criminal case, including a fiscal offense, against a person applying for a passport document.
